Process Documentation Principles

Process maps are all the same aren’t they?

The short answer is no.

When analysing processes, we can adopt different methods of illustration depending on the level of detail required. Detail increases as our view gets more refined and narrower.

With each level we get closer, and closer to the detail.

Aligning processes to organisational structure

The structure of an organisation like the University can be broadly aligned to the levels of process documentation.

The diagram illustrates how this might be achieved. This may help our audience understand where the process fits within the organisation.

Hints & Tips

  • This is not a “one-size-fits-all” solution and will depend upon where we start our organisational chart and Level 0 diagram, and how the two are aligned.
  • When looking at a process holistically we may find that it crosses organisational boundaries and involves teams from more than one area.
  • E.g. Division A may initiate a process before passing to Division B for completion.
  • Some processes may even extend beyond our organisation and involve 3rd parties.
